Privacy policy

This page explains what Evergreen Golf does with the personal details you give us through this website. We keep it short because we don't collect much.

Who we are

Evergreen Golf is a company registered in Scotland, company number SC904980. We hire out a mobile golf simulator for events in and around Aberdeen. For anything to do with your data, email [email protected].

What we collect, and why

When you use the "Check your date" form we ask for your name, email address, the type of event, a rough date and a venue or postcode. Phone number, a message and a referral code are optional. We use these to reply to you, check availability and, if you go ahead, to arrange your booking. We don't add you to a newsletter or mailing list.

Some of our emails are sent automatically from our own inbox. After an enquiry we reply within the hour (9am to 9pm), and if we don't hear back we may send up to three short follow-ups over the next two weeks, then stop. If you reply, or tell us to stop, the automatic emails stop straight away.

If you email us directly, we keep the email so we can deal with your enquiry or booking.

If you book, we also hold the details needed to run the event and to take payment: the venue, timings, the package, and a record of the deposit and balance paid.

If you book, we'll also email you before your event to check the details, and afterwards to ask for a review, share your referral code, and once to offer a rebooking. Every one of these can be stopped by replying "stop".

If you use someone's referral code, we record whose code it was so we can pay their reward, and we tell them that a booking was made with it. We don't share your other details with them. If you're owed a cash referral reward, we'll ask for your bank details to pay it and keep them only until it's paid.

Who handles it for us

We don't sell your details or share them with anyone else.

Cookies and tracking

This site doesn't set cookies and doesn't use third-party advertising or analytics tools. We may keep anonymous counts of visits and of how far people scroll, which can't identify you and aren't linked to anything you type into the form.

How long we keep it

Enquiries that don't turn into a booking are deleted after 12 months. Booking records are kept for 6 years, because we're required to keep business and tax records for that long.

Your rights

You can ask us at any time to show you what we hold about you, to correct it, or to delete it. Email [email protected] and we'll sort it, usually within a few days. If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Legal basis

For enquiries, we process your details because you've asked us to get in touch (our legitimate interest in replying to you). For bookings, we process them because they're needed to carry out the contract with you.

Changes

If this policy changes we'll update this page and the date at the top.
